MHCAN, the Mental Health Client Action Network of Santa Cruz seeks an experienced non-profit bookkeeper for part-time work.

MHCAN is a peer-run resource center for the underserved in our community who are diagnosed with mental health and addiction issues including schizophrenia, bipolar disorder, addiction, alcoholism, and depression.

We offer a drop-in center as a resource for connection, peer support, coffee, breakfast, lunch, kitchen use, computer use, phone use, transportation, showers and laundry services.

We are hiring a bookkeeper to report to our Board of Directors.  The ideal candidate understands the complexities of fund accounting so that the organization complies with grants and governmental regulations. The candidate must have an AA or BA in accounting or equivalent in addition to work experience. The candidate must also have 5 years or more working in QuickBooks Desktop Software (not just QuickBooks Online)

Job duties:


1.      Review all QuickBooks transactions and adjust accounts, classes and jobs as needed

2.      Enter all ACH debit transactions and code

3.      Reconcile bank accounts

4.      Overview payroll and tax payments, and adjust as needed

5.      Verify the accuracy of funder (class) reports and job (program reports)

6.      Prepare multiple CMH monthly reports as required and monthly invoice

7.      Review grant spending in each CMH program, WorkForce, and other grants, and report to ED on spending status

8.      Meetings with ED as needed to discuss financial reports, budget issues  


·         Prepare and file state and federal payroll tax reports

Fiscal Year End

1.      Close out books and prepare year-end financials

2.      Close out all funder class reports in agreement with funder budgets

3.      Work with ED on the preparation of the annual budget

4.      Prepare cost report for CMH and other requested CMH reports

5.      Attend Board meeting to present year-end financials


Calendar Year End

1.      Preparation of year-end payroll tax reports including w2s and w3

2.      Preparation of year-end 1099 vendor reports


1.      Assist ED with various fiscal matters as needed (e.g. workers comp reports, tax letters)

2.      Prepare financial documents, in conjunction with ED, for CPA’s annual fiscal tax returns (990s)

3.      Maintain general ledger and QuickBooks Desktop file (accounts, classes, jobs, etc.)
